Recruitment Assistant – Healthcare Talent Acquisition

About the role

We are looking for an organized, self‑motivated Recruitment Assistant to join our healthcare talent acquisition team. The role supports the acquisition of rehabilitation professionals across multiple facilities, managing high‑volume candidate pipelines and ensuring smooth administrative recruitment processes.

Key responsibilities

• Launch multi‑channel sourcing campaigns (text/email blasts, resume mining, cold calls) to engage Physical Therapists, Occupational Therapists, Speech‑Language Pathologists, PTAs and COTAs.
• Screen incoming applications on Indeed and other job boards, conduct initial candidate touchpoints and route qualified resumes to recruiters.
• Maintain clean candidate profiles, update application statuses and track pipeline metrics in the ATS.
• Coordinate interview schedules, follow up with candidates and facilitate communication with hiring teams using Microsoft Teams and Outlook.
• Organize talent data and build tracking sheets in Microsoft Excel to monitor sourcing performance and applicant flow.

Required profile

• Prior experience supporting healthcare talent acquisition, especially for therapy or allied‑health positions.
• Familiarity with Indeed and standard job boards.
• Experience with ATS platforms such as Apploi, Hireology or SmartLinx is a strong plus.
• Exceptional organizational abilities and the capacity to handle high‑volume administrative tasks.
• Ability to multitask, adapt to changing hiring priorities and pivot between outreach and administrative duties.
