Transcript Importer

About the role

Magna Legal Services is looking for a detail‑oriented Transcript Importer to manage the review, production, and delivery of legal transcripts. You will work with a custom web‑based system, coordinate standard and rush requests, and liaise with clients and court reporters to ensure accurate and timely transcript packages.

Key responsibilities

• Review transcripts and order information for accuracy, completeness, and client requirements.
• Create and update orders, documents, and job notes in the proprietary web application, performing quality checks at each stage.
• Prepare final transcript packages, verifying all required files, instructions, and delivery details.
• Coordinate standard, rush, web‑submitted, and special requests to meet client deadlines.
• Respond to client and court reporter inquiries by phone and email, clarifying requirements and resolving discrepancies.
• Prioritize multiple jobs, escalating issues that could affect accuracy or on‑time delivery.
• Partner with internal teams to ensure smooth handoffs and consistent processes.
• Assist with additional transcript‑production and administrative tasks as business needs evolve.

• Excellent organization and time‑management skills, able to handle multiple deadline‑driven assignments.
• Clear, professional written and verbal communication.
• Comfortable learning and working within web‑based applications and document‑management workflows.
• Customer‑service mindset with the judgment to investigate and resolve discrepancies.
• Reliability, accountability, and ability to work independently or as part of a team.
• Discretion when handling sensitive client and legal information.
