Medical PMO Coordinator

About the role

We are seeking an experienced Medical PMO Coordinator to provide operational and administrative support to the Medical Department of a pharmaceutical client. The role is hybrid, requiring two days per week in the office, and acts as the central coordination point across multiple internal functions.

Key responsibilities

• Coordinate cross‑functional medical projects, supporting planning, execution and follow‑up.
• Track milestones, actions, risks, dependencies and overall project status.
• Organise team meetings, prepare agendas and minutes, and follow up on actions.
• Manage meetings with healthcare professionals, consultants and external stakeholders.
• Administer medical contributions, including due‑diligence checks, contract preparation, logistics and invoice processing.
• Support Medical Information activities by routing inquiries and preparing reports.
• Collaborate with Pharmacovigilance and Quality teams to compile reconciliation reports and operational updates.
• Coordinate procurement activities such as vendor creation, purchase requests and invoice submissions.
• Maintain project plans, action trackers, status reports and compliance documentation.
• Prepare for internal and external audits by consolidating documentation and coordinating follow‑up actions.
• Monitor regulatory deadlines, budget utilisation and financial reconciliation.
• Support onboarding of new Medical team members, including training coordination and IT setup.

Required profile

• 5 to 10 years of experience in PMO, project coordination, medical operations or a related field.
• Strong organisational and communication abilities.
• Experience working with cross‑functional teams in a pharmaceutical or medical environment.
