Sales & Marketing Operations Specialist

About the role

We are looking for a highly organized Sales & Marketing Specialist to act as the operational backbone of our growing sales team. You will maintain database integrity, manage complex schedules, produce Excel reports, and ensure seamless follow‑through on all sales activities.

Key responsibilities

• Maintain, update, and clean lead and pipeline records in our CRM, auditing entries to eliminate duplicates and enforce standardized data entry.
• Coordinate and schedule high‑volume internal and external meetings, prospect demos, and client calls across multiple time zones, proactively resolving conflicts.
• Extract sales metrics and produce routine operational reports using advanced Excel functions such as PivotTables and VLOOKUP/XLOOKUP.
• Monitor sales reps' active deals and action items in our project‑management tool, ensuring timely client follow‑ups.
• Attend sales calls and team meetings to record detailed notes, summarize decisions, and outline actionable next steps.
• Provide high‑volume administrative assistance, including drafting client correspondence, preparing slide decks, organizing digital files, and routing incoming leads.

Required profile

• 2+ years of experience in sales support, administrative assistance, or sales operations.
• Proven hands‑on experience managing CRM databases (e.g., Salesforce, HubSpot, or Zoho) with a focus on data hygiene.
• Strong written and verbal communication skills with a track record of meticulous meeting documentation.
• Exceptional time‑management skills and the ability to prioritize tasks in a fast‑moving environment.
