Operations Coordinator

About the role

We are looking for a proactive Operations & Maintenance Coordinator to manage administrative, financial, and hands‑on maintenance tasks for our commercial cleaning and facility maintenance company serving healthcare environments.

Key responsibilities

• Draft, format and present service proposals and bids for new healthcare clients.
• Serve as primary contact for frontline cleaning and maintenance staff, handling scheduling, site feedback and team accountability.
• Maintain accurate bookkeeping in QuickBooks, including invoicing, vendor payments and account reconciliation.
• Source, evaluate and purchase cleaning equipment and supplies while adhering to budget constraints.
• Coordinate external contractors such as plumbers, HVAC technicians and electricians for advanced facility repairs.
• Enforce infection‑control and healthcare compliance standards, verifying completed work before invoice sign‑off.

Required profile

• Self‑starter with a "go‑getter" attitude, able to work independently.
• Extreme attention to detail, especially when tracking financial records and compliance documentation.
• Strong verbal and written communication skills for interaction with management, clients, vendors and field teams.
• Experience in commercial cleaning, facility maintenance, healthcare operations or construction management is strongly preferred.

Required skills

• Proficiency with QuickBooks (Desktop or Online).
