Executive Administrative Assistant

About the role

Four Seasons Resort and Residences Dominican Republic at Tropicalia is building its pre‑opening team and seeks an Executive Administrative Assistant to support the General Manager. This role provides high‑level administrative and organisational assistance, ensuring smooth communication, meeting coordination, travel logistics and confidentiality across the executive office.

Key responsibilities

• Manage the General Manager’s calendar, appointments and priorities, anticipating conflicts and optimising time usage.
• Coordinate Executive Committee and leadership meetings, preparing agendas, presentations, supporting materials, taking minutes and tracking action items.
• Draft, review, format and distribute correspondence, reports and presentations in both English and Spanish.
• Arrange travel itineraries, accommodations and related logistics for the General Manager and senior team.
• Handle confidential documents and sensitive information with the utmost professionalism.
• Support daily activities of the Executive Office, including filing, expense reporting and ad‑hoc projects.

Required profile

• Proven experience in executive or senior‑level administrative support, preferably in hospitality or a pre‑opening environment.
• Exceptional organisational skills with a strong attention to detail.
• Ability to maintain discretion and handle confidential matters.
• Excellent written and verbal communication in English and Spanish.

Required skills

• Fluent English and Spanish.
• Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Calendar and travel‑booking management.
• Minute‑taking and document preparation.
